HR Coordinator / Specialist (Contract) - Human Res

The HR Coordinator will support the entire HR Department and perform a broad range of support functions. As the HR Coordinator, you will have the opportunity to gain HR experience and learn from a team of HR professionals. The essential functions of this position include but are not limited to the following:

 

Key Responsibilities:

 

General Human Resources

  • Maintain state and federal compliance postings
  • Create and maintain hard copy and electronic employee files in accordance with policies and procedures
  • Act as a bridge between the local HR Business Partners and the Firmenich HR Service Center call center; coordinating and resolving issues with the HR Service Center
  • Manage the processing and tracking of vendor invoices
  • Prepare Termination/Severance/Employee Letter, acquire appropriate signatures, answer employee’s severance questions
  • Look up info in SAP/assist with HR data requests, analytics and updates
  • Provide general administrative support to the HR department on an as needed basis
  • Assist local HR Business Partners in strategic projects, as needed

 

Service Delivery-50% of role

  • Run analytical reports in SAP, including ad hoc report requests and survey data
  • Validate monthly Global Headcount Report
  • Perform quarterly SAP Data Audit and Clean Up

 

Recruiting

  • Serve as back-up for New Hire Orientation
  • Assist with the completion of I-9 forms
  • Support the processing of referral bonuses

 

Mobility

  • Submit expense reimbursements to Payroll
  • Lead and organize work with the domestic relocation provider
  • Maintain annual check request log of invoices and reimbursements
  • Data entry into SAP system including tracking/compliance of visa details
  • Maintain/assist with Immigration paperwork (e.g., files, postings, and coordination with law firm)
  • Document gathering for immigration files
  • Produce employment verification letters upon special request
  • Provide mobility reporting and analytics
  • Support requests related to Short Term Assignments
  • Act as a central point of contact for incoming international transfers

 

Requirements:

  • Bachelor's degree preferred and ideally within the following disciplines (Finance, Accounting, Administration, Human Resources or Business Management).
  • 1-2 years of experience in Business, Project Management, Finance, Accounting, Administration or Human Resources functions

 

Profile:

  • Self-led, highly proactive with strong drive to execute
  • Desire to ensure continuous improvement
  • Ability to work in a fast-paced environment and prioritize competing deadlines
  • Proficient with Microsoft office, especially Excel
  • High learning agility, attention to detail
  • Highly organized, accountable, and responsive
  • SAP Experience a plus
