Fine Fragrance Commercial Admin Associate - NYC, N

We currently have an immediate opportunity for a Commercial Admin Associate to join our North American Sales team in our Perfumery Division at our International Fine Fragrance Development Center in New York, NY.

 

Overview:

The Account Associate position has broad exposure, interfacing with internal and external teams including clients, sales management, creation (perfumers) & development, labs, consumer insight & marketing, customer care, systems & tools super users.

Key Responsibilities:

  • Build and maintain client relationships product development, marketing, & operations teams
  • Management of customer projects and submissions with fragrance development, perfumers and lab
  • Provides general administrative support, including preparing for meetings and client submissions. Performs other related duties as assigned, including managing messenger/shipments/reports as requested
  • Coordinates samples and documentation for customers, including safety and regulatory documents
  • Manages and follows-up on Customer and Sales Team requests. Also act as an interdepartmental coordination specialist (liaison with Labs, Creative and other teams as required)
  • Respond professionally to internal and external inquiries using systems knowledge, creative investigation, innovative follow up and problem-solving techniques
  • Maintain multiple databases and other systems to drive operational timelines and production, including SAP
  • File and maintain all commercial documents, including contracts, agreements, price quotes
  • Create analyses leveraging reporting systems tracking sales, trends, and identifying opportunities
  • Contribute ideas for new business opportunities in team meetings
  • Partner with the planning team to manage forecasting and pre-production planning
  • Hold internal teams accountable for meeting deadlines and adhering to processes with support of manager

 

Requirements:

  • Associate's Degree required
  • 2-3 years of experience in an administrative role preferred
  • Detailed oriented, with a high level of organization skills
  • Excellent administrative and computer skills including MS office suite
  • Strong aptitude for computer literacy and ability to master Firmenich internal systems & tools (SAP, Project Master, Spire, Class, Encyclopedia, SharePoint, CRM, Pricing tool, demand planning, budget, LE)
